What an AI Receptionist Can and Can't Do for a Medical or Dental Practice

An AI receptionist can answer the calls your front desk misses, book appointments and answer practical questions. Here is exactly where the line sits, and why it never gives clinical advice.

TL;DR: An AI receptionist can answer the calls your front desk can't get to, book appointments into real free time, answer practical questions from your practice's own information and take clear messages. It never gives clinical or medical advice, and it is not an emergency service. Those two lines are what make it safe to use.

Why do practices miss so many calls?

Because the people who answer the phone are also the people looking after patients. The busiest times for calls, first thing in the morning, lunchtime and the end of the day, are also the busiest times at the desk. A patient checking in, a payment, a question at the counter: each one is a ring that goes unanswered. After hours, every call goes to voicemail, and plenty of callers hang up rather than leave a message.

An AI receptionist sits behind your existing number. You forward the calls you can't get to, on no-answer, when busy or after hours, and it picks them up in a natural Australian voice.

What can an AI receptionist do for a practice?

It handles the practical work of the front desk:

  • Bookings. It reads your real calendar availability and books inside the booking hours you set, with at least an hour's notice. Patients get a confirmation by email and text with reschedule and cancel links, plus reminders the day before and an hour before.
  • Practical questions. Hours, location, parking, which health funds you take, whether you bulk bill, what to bring. It answers only from the information you give it, and if the answer isn't there it says so and takes a message.
  • Messages. Results, scripts, referrals, a request to speak to a particular practitioner. These become clear messages for your team, with the call written up as a summary.
  • Urgent requests. A patient in pain or asking to be seen today goes to the top of your list, with an email summary as soon as the call ends.

For a dental practice, that means check-ups and toothache calls handled the same way. For allied health, it means initial assessments booked while your practitioners are with clients. See how it works for dental practices, physio and allied health and GP clinics.

What will it never do?

It never gives clinical or medical advice. It won't interpret symptoms, discuss test results or talk about medication. Anything clinical becomes a message for your team. That is a deliberate limit, not a gap to be filled later.

It is also not an emergency service. Your practice should give it an instruction to direct anyone describing an emergency to call 000, and that is what it will tell them.

And it won't guess. If a patient asks something that isn't in your practice's information, such as a fee you haven't listed, it says it doesn't know and takes a message rather than inventing an answer someone could hold you to.

What happens to patient information?

Personal information is handled under the Australian Privacy Principles. Instead of an audio recording, you get a written summary of each call in your portal, and any recording link the voice provider creates is deleted from our records after 30 days. Our privacy policy explains where data is stored and who processes it.

Will patients know they are talking to an AI?

You decide. You choose the greeting and the name it goes by, and you can say in the greeting that it is the practice's AI assistant. Many practices prefer to say so up front.

How hard is it to set up?

You keep your number. The portal shows the exact forwarding codes for your carrier, and most practices start by forwarding on no-answer, so it only picks up the calls the desk misses. You connect your calendar, check its answers to common questions, and it is ready. Read more about how it works end to end, or start with the healthcare overview.

Questions we get asked

Will an AI receptionist give my patients medical advice?

No. Velobiz never gives clinical or medical advice. It books appointments, answers practical questions from your practice's own information and takes messages for your team.

Can it book into more than one practitioner's calendar?

Yes. Each practitioner can connect their own calendar, and it books into the right person's free time inside the booking hours you set.

Is it an after-hours medical service?

No. It is not an emergency service. Include an instruction in its information to direct anyone describing an emergency to call 000.

Does it record patient calls?

You get a written summary of each call, not an audio recording. Any recording link the voice provider creates is deleted from our records after 30 days.
